How Lead Score works

Automatic heat scoring that tells you who to follow up with first.

The four heat levels

Every lead is rated Hot, Warm, Cool, or Cold so a glance at your list shows where to spend your time. A new lead stays Hot until an agent communicates with it.

The three signals

Scoring combines three signals: last touch (a real contact such as a note, email, or call), the lead timeline, and site activity. Recent property views warm a lead.

Timeline-aware decay

The decay is tuned to each lead timeline. An ASAP lead surfaces Hot immediately and cools quickly on silence; a long-horizon lead has longer before it cools; a Just Looking lead never goes Hot from silence alone.

When a lead goes quiet

Once a lead has been contacted, the re-ignite window catches it going quiet. If it gets no communication and no pipeline movement for the number of days you set, it returns to Hot and the assigned agent is emailed. Set the window under Settings → Automations.

Switching the automation off

Both live under Settings → Automations, alongside everything else the CRM does on its own. Switch off Bring a quiet lead back to Hot and quiet leads keep whatever priority they already have — no move to Hot, no email. Switch off Add a task when a lead turns Hot and no follow-up task is ever created automatically. The two are independent, so you can keep one and drop the other.

Team Leads and Team Admins change these. Every other role sees the same screen read-only, so any agent can check what the system does with their leads.

Turning off just the email

Not wanting the email is different from not wanting the behaviour. My Profile → Notifications is each agent's own — switch off the re-ignite email there and the lead still returns to Hot, it just stops landing in your inbox. Nobody else on the team sees or changes your preferences.

On the Team plan a team lead can set where everyone starts, and lock any one of them so the whole team gets the same answer. A locked notification is shown on the agent's own screen, marked as set by their team lead. Anyone with CRM settings access is exempt from the locks.

Seeing what the system did

Every automatic change is written on the lead itself, under Notes & Activity, marked Automatic and saying which rule made it — 'Returned to Hot — no contact or pipeline movement for 10 days'. If a lead moved and you did not move it, the reason is on the lead.

Setting a priority yourself

An agent can set Hot, Warm, or Cold by hand from the dropdown beside the stage pill on any lead, and hand it back to automatic at any time. Until an agent chooses, the pill shows the calculated score, outlined and marked 'auto'.
